316 Wellness Connect – Cancellation Policy

It is important that you take the time to read our cancellation policy before booking with us. The cancellation of an appointment at short notice leaves a large gap in your provider’s schedule which may be difficult to fill. For this reason, we use cancellation fees to help protect our providers from unreasonable loss of income.

 
Cancellation Notice

The cancellation fee is the full amount of your session fee. We reserve the right to automatically charge you a fee, using the payment method on file.

If you need to cancel or reschedule an appointment, a minimum of 2 BUSINESS days notice is required so we have a reasonable chance fill the vacancy. For the purpose of this policy, we consider all days between Monday and Friday to be business days. For example:

• Monday cancellations must be notified by Thursday, same time
• Tuesday cancellations must be notified by Friday, same time
• Saturday cancellations must notified by end of Wednesday (so that we have 2 business days to fill the vacancy)

 
Cancellation Fees
A cancellation fee may be waived, at the discretion of your provider. However, this is NOT guaranteed, should not be expected, and may not be repeated.
 
No-Shows

For any “no-show”, the cancellation fee will be charged to you with no exception. We reserve the right to automatically charge this fee, using the payment method on file. 

 
Late Arrivals

Late arrivals will be treated as a “no-show”, per the above. For the purpose of this agreement, we consider “late arrivals” to be any client who is not present in their telehealth appointment after 5 minutes of the scheduled appointment time.

 
Rescheduling

When rescheduling an appointment, please note that it is considered a cancellation of the original appointment. This means that any cancellation policies or fees that apply to cancellations will also apply to rescheduled appointments.

Refund Policy:

• Fees paid for services rendered, late cancellations, or no-shows are non-refundable.

• Pre-paid Packages: Any refunds requested for unused portions will result in amended charges to full fee for the used portion.
For example, a 10-session prepaid package with 4 attended sessions and one late cancellation will result in an amendment to full fees for 5 sessions, and the remainder will be refunded.
